Facility onboarding & integration

Veridian Motion serves correctional facilities through two distinct identity populations, each handled differently.
Clinicians, administrators, officers, wardens, and IT admins are named users tied to the facility workforce.Built today: Local email + password with TOTP MFA (enforced per deployment). Roles include pt, admin, officer, warden, it_admin, bh_clinician (reserved — BH not public), and wellness_participant.Planned: SSO via agency IdP (SAML/OIDC). Rolling out: multi-facility membership and switching. See Roadmap.

License programs (entitlements + seats)

Before patients use a program beyond core MSK (as applicable to your contract):
  1. Confirm the facility program entitlement (on/off, seat cap, contract price)
  2. Enroll patients into that program within the seat cap
  3. Confirm feature flags for Precision Rehab / Medical Intake / Chess Wellness

Provisioning patient accounts

Admin enrolls patients

Use Enroll patient or bulk roster import in the admin console.

Receive Patient ID + PIN

Hand credentials to the patient through the facility’s existing channel.

Enroll program seats

Assign licensed program enrollments without exceeding purchased seats.

Patient accepts Terms and completes intake

First login requires Terms acceptance; then MSK and other enabled programs.

Multi-facility (rolling out)

Facility-scoped RLS, facility switching, and warden oversight are rolling out. Until confirmed, assume single-facility operation.

Kiosks

Facility-issued tablets locked via agency MDM. Chess/rehab loops are designed for locked networks where it matters.

Hosting and compliance

HIPAA-aligned, not HIPAA-certified; not CJIS/FedRAMP-authorized. Current builds use synthetic data only. Real-PHI pilots require compliance migration — see Security overview and Roadmap.

Onboarding runbook

Contract, BAA, and data-classification review

Execute facility agreement and BAA. Confirm hosting; no real PHI until ready.

Provision facility and program entitlements

Configure tenant, licenses, seat caps, and feature flags.

Connect staff identity

Create local staff accounts with TOTP MFA. Assign roles.

Enroll patients and program seats

Manual or bulk roster import; enroll into licensed programs within caps.

Provision kiosks

Install the PWA via MDM. Issue Patient ID + PIN.

Train staff and launch pilot

Train clinicians on MSK review, Precision Rehab panel, Medical Intake flags, and AI and clinical safety.

Monitor

Review audit log, billing snapshots, and admin analytics.
